Document Storage vs Self-Storage: What Is the Difference?
On the surface, both options give you a place to keep your boxes. But document storage and self-storage are fundamentally different services designed for different purposes. Understanding the differences helps you choose the right option — and avoid putting your business records at risk.
What Self-Storage Is
Self-storage provides you with a lockable unit in a shared facility. You rent the space, bring your own items, organise them yourself, and access the unit whenever you need to. The provider’s role ends at providing the space and basic site security.
It works well for household goods, furniture, seasonal stock and overflow equipment. Pricing is straightforward — typically £5-£25 per week depending on unit size and location.
What Professional Document Storage Is
Professional document storage is a managed service. The provider collects your documents, catalogues them into a tracking system, stores them in purpose-built conditions, and manages retrievals, deliveries and destructions on your behalf. Your records are tracked at box and file level, not just stored in a room.
Pricing is per box rather than per room — typically 5p-25p per box per week. For 100 boxes, that is £5-£25 per week, which may be comparable to or cheaper than a self-storage unit.
Key Differences
Security
Self-storage security typically means a padlock on your unit, CCTV at the entrance, and maybe a key code for the gate. Professional document storage facilities offer controlled access with logging, 24/7 monitored CCTV, intruder alarms connected to Alarm Receiving Centres, and staff vetting including DBS checks.
Fire Protection
This is the most critical difference. Self-storage facilities use water-based sprinklers, which save buildings but destroy paper. Professional document storage facilities use gas-based fire suppression that extinguishes fires without water — the only method that actually protects documents.
Tracking and Retrieval
In self-storage, if you want a specific file from box 47, you drive to the unit, unlock it, find box 47, search through it, and drive back. In professional storage, you make a request online or by phone, and the specific box or file is delivered to you — often the same day.
Environmental Conditions
Self-storage units are typically metal or concrete with no climate control. Temperature and humidity fluctuate with the seasons, which over time causes paper to deteriorate, warp and develop mould. Professional facilities maintain stable conditions designed for long-term paper storage.
Compliance
Self-storage provides none of the compliance infrastructure that businesses need: no retention schedule management, no destruction certificates, no chain of custody documentation, no ISO certification. Professional storage includes all of these as part of the service.
Cost Comparison
Self-storage appears cheaper because you are renting a space. But when you add the cost of your time — driving to the unit, searching for documents, organising boxes, managing retention yourself — the total cost often exceeds professional storage.
For a business with 100 archive boxes, a self-storage unit large enough to hold them might cost £15-£20 per week. Professional document storage for 100 boxes at 12p per box costs £12 per week — and includes tracking, retrieval, delivery and compliance support.
