And contracts tend to be more flexible — many regional specialists offer rolling terms rather than three or five-year lock-ins.

The trade-off is geographic coverage. If your business is in one location, a regional provider is almost always the better choice. If you need multi-site coverage across the country, a national provider or a network of regional partners may be necessary.

How to Compare Providers

When requesting quotes, provide the same information to each provider: number of boxes, types of documents, how often you need retrievals, and any compliance requirements. Then compare on these points:

  • Collection and delivery: Is initial collection free? What do ongoing deliveries cost?
